Events

Purpose

Events is the Clarity Transform screen for migration events. The page header is Migration Events, and its subtitle reads: "A migration event represents a scheduled window or task during which specific applications, servers, or workloads are moved from their current environment to a new one."

An event has a Start Date and an End Date. Other screens, such as Move Groups and Runbooks, refer to an event by its name.

What you see

Cards

  • Number of Events
  • Completed Events
  • Avg Devices per Event

Actions

The grid has the standard toolbar: Create New (the add icon), Edit, Remove selected, Clear selection, Reload table data, Enable spreadsheet editing, Export CSV and Import CSV. Create New opens the Create new entry form, and Edit opens the Edit entry form for the selected row. The toolbar also has:

  • Automation Wizard: opens the Event & Move Group Automation wizard.
  • Refresh Event Stats
  • Show completed: completed events are hidden when the page opens. Select Show completed to list them too; the button then reads Hide completed.
  • Target Mapping: a download for the selected events. It is greyed out until you select an event row.
  • Missing S2T Networks: a download for the selected events. It is greyed out until you select an event row.
  • Lock Event: opens the Lock Event dialog for the selected events.
  • Unlock Event: acts at once, with no confirmation dialog.

Note: Unlock Event acts immediately. It does not ask for confirmation: it unlocks the selected events at once, shows "N event(s) unlocked." and clears Locked By and Locked On. Don't select it to see what it does.

Lock Event, Unlock Event, Target Mapping and Missing S2T Networks act on the event rows you clicked. Clear selection does not reset them, so an event can still be acted on after the grid stops showing it as selected. To deselect an event for these buttons, click its row again, or reload the page.

Each row has these row actions:

  • View Details (the eye icon)
  • View T-minus Runbook: opens the event's T-Minus runbook page, where you generate the event's runbook from a template. See T-Minus runbook page.

The event's Name is a link (tooltip "View move groups for this event"). Select it to open Plan → Move Groups filtered to that event's move groups.

Columns

  • Name: a link to the event's move groups.
  • Start Date
  • End Date
  • Applications
  • Devices
  • Databases
  • Containers
  • Number Approved
  • Number Rejected
  • Number No Response
  • Number Decommissioned
  • Status
  • Notes
  • Is Locked
  • T-minus Runbook: the View T-minus Runbook button.

Fields

The create form (Create new entry) has these fields, in this order. The edit form (Edit entry) has the same fields, filled in.

  • Name: text.
  • Start Date: a date, required.
  • End Date: a date, required.
  • Status: Completed, In Planning or In Progress.
  • Notes: free text.

These fields are hidden in the form, so they can't be set there: Applications, Devices, Databases, Containers, Number Approved, Number Rejected, Number No Response, Number Decommissioned, Is Locked, Id, Progress, Locked By, Locked On and the audit fields. The form footer has Cancel and Save.

Filters

  • Each column has a filter row, and a Search: box searches the grid.
  • The page-size selector offers 10, 25, 50 or All entries per page.

The grid remembers its Search: text, column filters, sort order and page size between visits. If the grid shows fewer rows than you expect, clear the Search: box and the filter row.

Values

  • Status: In Planning, In Progress, Completed.

Event & Move Group Automation wizard

The wizard has three steps, shown in a stepper: "1. Create Events", "2. Population Rules" and "3. Review & Apply". The footer has Back, Cancel, Next and Apply.

1. Create Events. The step text reads: "Generate a recurring series of migration events on a fixed weekend cadence, or skip this step to populate move groups into events that already exist." Fields:

  • First event start date: a date, default today.
  • Event end day: Sunday to Saturday, default Sunday.
  • Cadence (weeks): a number, default 2.
  • Number of events: a number, default 6.
  • Name pattern: text, default Migration Event {n}. The help reads "Tokens: {n}, {start:dd MMM yyyy}, {end:dd MMM yyyy}".

The step has the buttons Preview and Create Events. Preview lists the planned events (#, Name, Start, End, Status) without creating anything. Create Events creates them at once, before you reach Review & Apply: the confirmation reads "Created N event(s)." and the wizard moves to Population Rules with the new events ticked. The new events have Status Not Started and start and end at 00:00. Cancelling the wizard afterwards does not remove them.

2. Population Rules. The step text reads: "Choose which events to populate and how in-scope, unassigned devices should be grouped into move groups." Fields:

  • Target events: a checkbox for each event. "Locked events are disabled and cannot be populated."
  • Grouping strategy: One move group per event or One move group per rule set.
  • Distribution: Spread across events (round-robin), Ramp up & taper (smaller pilot waves, peak in the middle) or All into the first selected event.
  • Move group name pattern: text, default {event} - Move Group {n}. The help reads "Tokens: {event}, {ruleset}, {n}".
  • Device filter (optional - leave empty to include all in-scope, unassigned devices), with Add rule.
  • Rule sets (each becomes one move group; earlier sets win ties), with Add rule set.

3. Review & Apply. The step text reads: "Review the planned move groups before applying. Nothing is written until you click Apply." It shows a summary of the number of move groups and devices, and a table with the columns Move Group, Event and Devices.

Lock Event dialog

The dialog reads "You are about to lock N event(s)." and lists the events. It has one checkbox, Send the migration confirmation email to migration contacts, unticked by default. Its help reads: "When ticked, this sends the final migration confirmation (date & time) for the approved VMs in all move groups of the event(s) to the Migration Contact, Testing By and App Shutdown Contact. Rejected VMs are excluded." The dialog also says "Locking prevents new devices being assigned to the event's move groups." The buttons are Cancel and Lock Event.

Locking sets Is Locked, Locked By and Locked On, shows "1 event(s) locked.", and records EventLocked in the Activity Log. A locked event can't be chosen as a target in the Automation Wizard. Unlock Event acts at once, with no confirmation: it clears Locked By and Locked On, shows "1 event(s) unlocked." and records EventUnlocked. Select the row before using either button. A locked event's move groups can't be populated from the move group page either (see Move Groups).

Lock the event once its approvals are in: the confirmation email goes only to the contacts of approved VMs. Follow the approvals on Business Engagement, and see the Business Engagement and Approvals workflow for the whole route. When the email is sent, the Activity Log records EventMigrationConfirmationSent.

T-Minus runbook page

View T-minus Runbook opens a page headed with the event name and "T-Minus Runbook", with a Back to Events link. This is where an event's T-Minus runbook is created: the T-Minus Runbooks screen has no Create New.

If the event has no runbook yet, the page reads "No T-Minus Runbook Generated" and "Generate a runbook from a template to manage pre-migration and post-migration tasks for this event.", with a Generate Runbook from Template button. The button opens the Generate T-Minus Runbook dialog. All three fields are required:

  • Runbook Name: filled in as the event name followed by "Runbook". You can change it.
  • Template: a list of the T-Minus Runbook Templates.
  • Target Cutover Date (T=0): a date and time. Each task's date is set from this and the offset of its action in the template.

The buttons are Cancel and Generate. Generate creates the runbook and its tasks, shows "Runbook generated successfully with N tasks!" and reloads the page.

Once the event has a runbook, the page shows:

  • Cards: RUNBOOK STATUS (for example Behind, with the number of late tasks), COMPLETED, IN PROGRESS, PENDING, PAUSED and CANCELLED, each task count with its share of the total.
  • Runbook Details: Runbook Name, Template and Target Date (T=0).
  • T-Minus Tasks: the runbook's tasks, with the columns Name, Assigned To, T Minus Label, Status, Description, Category, Scheduled Date, Actual Start, Actual End and Notes, and an Actions column. Completed tasks are hidden until you select Show completed (the button then reads Hide completed). A task that is past its scheduled date and still open is highlighted as late.

The Actions column has these task controls:

  • Reset to Not Started: sets the task back to Pending.
  • Start Task: sets the task to In Progress. It is greyed out when the task can't start, and its tooltip gives the reason, for example "Task is already in progress", "Task is already completed" or "Task has been cancelled".
  • Pause Task: sets the task to Paused.
  • Cancel Task: sets the task to Cancelled.
  • Mark as Complete: completes the task. It is greyed out, with the tooltip "Task must be in progress before completing", until the task is In Progress.

The task grid works like the runbook task list on T-Minus Runbooks, which has the same task controls. Its toolbar has the standard buttons, including Create New to add a task to this runbook, and Show completed.

The runbook is also listed on T-Minus Runbooks, where selecting its name opens its task list.

How to

Create an event

  1. Go to Plan → Events.

  3. Enter a Name, a Start Date and an End Date, and choose a Status. Add Notes if you need them.
  4. Select Save, or select Cancel to close the form without saving.

The new event is listed in the grid, unless its Status is Completed: completed events are hidden until you select Show completed.

Change an event

  1. In the grid, select the event's row.
  2. Select Edit in the toolbar. The Edit entry form opens with the event's values.
  3. Change the fields you need, then select Save.

Create events and move groups with the wizard

  1. Go to Plan → Events.
  2. Select Automation Wizard. The Event & Move Group Automation wizard opens at "1. Create Events".
  3. Fill in the event fields, or skip the step to use events that already exist. Select Next.
  4. In "2. Population Rules", tick the Target events, choose a Grouping strategy and a Distribution, and add any rule sets. Select Next.

  4. Select Lock Event, or select Cancel to close the dialog without locking.

Generate a T-Minus runbook for an event

Do this from the event, not from the T-Minus Runbooks screen. Generating is what creates the runbook's tasks.

  1. Go to Plan → Events.
  2. In the event's row, select View T-minus Runbook. The event's T-Minus runbook page opens.
  3. Select Generate Runbook from Template. The Generate T-Minus Runbook dialog opens.
  4. Check the Runbook Name, choose the Template, and set the Target Cutover Date (T=0).
  5. Select Generate, or select Cancel to close the dialog without generating.

The page reloads and shows the runbook and its tasks. To work on the tasks across all events, use T-Minus Runbooks.

Work an event's T-Minus tasks

  1. Go to Plan → Events.
  2. In the event's row, select View T-minus Runbook. The event's T-Minus runbook page opens with its T-Minus Tasks.
  3. When work on a task begins, select Start Task in its Actions column. The task moves to In Progress.
  4. When the task is done, select Mark as Complete. This is only available while the task is In Progress. The completed task is then hidden until you select Show completed.
  5. To stop for now, select Pause Task. To abandon the task, select Cancel Task. To put it back to Pending, select Reset to Not Started.

See an event's move groups

  1. Go to Plan → Events.
  2. Select the event's Name. Plan → Move Groups opens, with the Event Name filter set to that event.

If the event is completed, select Show completed first to list it.
